How To Navigate the Dreaded Seating Chart

Mapping out the seating chart seems to be widely regarded as the least favorite aspect of wedding planning, according to couples. But let’s think about why – is it because of the overwhelming number of guests? Is the thought of a family feud anxiety-inducing? Do you have to separate fighting friends? Whatever the case may be, these tips from event pros have everything you need to tackle the problem head-on.

Be Mindful of your Budget

While the breakdown of your reception seating does impact other areas of the Big Day, most don’t realize that budget also comes into play. “You may love the idea of seating 8 per table at a round versus 10, so everyone has a bit more elbow room,” shares Danielle Gonzalez of Blooms by the Box. “At the same time, you’ll then need additional tables, which means more linens and centerpieces. If you’re particularly looking for areas to save, consider giving your seating arrangements a onceover.”

If you have your hopes set on long rectangular tables, you benefit from the ability to fit more people in together. Gonzalez adds, “with this ‘family style’ set up, you can do a garland and floral runner in lieu of centerpieces in containers, which can save money.”

Start with the Absolutes

When in doubt, start off with planning the assigned tables first. These are the ones you know are going to remain fairly consistent, like the bridal party table or the kids table. Tracie Domino of Tracie Domino Events notes that if you decide on a head table to seat the bridal party, you also have to be mindful to include their significant others. “No one wants to be seated across the room from the person they attended with and the date might not know anyone at the wedding,” she says.

Managing Seating Conflicts

Having family members or friends that just don’t get along is very common and unfortunately unavoidable. However, you don’t have to let this rain on your big day, and there are small things you can do to ease the tension.

Tommy Waters, Event Coordinator of The Renaissance says, “Of course, you’ll always have those guests that are better off seated separately. But on such an important day, you can count on most (if not all) of your guests to come on their best behavior. I also always suggest to consider mixing up the seating chart a bit if you’re at a loss – friends and family that may not have been able to spend much time together before will now have a great opportunity to!”

Conflicts can go beyond organizing a few place cards. Waters continues, noting that not making room for additional guests is a common mistake couples make. “Be sure you have space to add tables! Chances are, you’ll inevitably have guests contact you at the last minute and ask to bring along an extra person. More than likely, this will add a table to the floor plan. This means more place settings and centerpieces, too.”

For Kevin Dennis of Fantasy Sound Event Services, you may even come to a crossroads where you have to cut people from the guest list. “If you’re on the fence about where to place a difficult guest, my rule of thumb would be this – anyone who doesn’t 100 percent support your marriage should stay home. Whether it’s a friend that don’t want you to get married or a family member that has been overly judgmental or difficult to deal with. Whatever their reason, if they aren’t as excited for you as everyone who is attending and you’re truly worried about how they’ll interact with other guests, then they shouldn’t get an invite.”

What about the Little Ones?

Whether or not you decide to invite children is entirely up to you, but if you do have young ones in attendance, you’ll need to decide whether the children should sit with their families or at their own dedicated table.

Domino expands, “It depends on the age of the kids. I probably wouldn’t try this for kids under age 6, as smaller children should sit with their parents, but anyone old enough to cut their own dinner can sit at their own table. We also recommend checking to see if the hotel has a ‘Kids Club’ with babysitting services to help entertain the kids and keep them under control.”

If you do decide to create a kids table, remember to notify parents in advance and budget for a few small activities and toys to keep your youngest guests entertained.

Apps and Programs to Make Planning Painless

Luckily, we’ve seen a sharp incline in incorporating technology into wedding planning in recent years. The endless spreadsheets can be overwhelming, but new seating chart tools take the headache out of organizing from scratch. Wedding trends are making a huge shift to the unconventional, and this is especially true for how you decide to combine your guests at your wedding. Frida Khalo inspires. A woman who knew how to dress for effect, her instantly recognizable style, bright florals, vivid colors, and bold patterns set off sparks for creative minds. By embracing her artistic soul and wild fusion of femininity, romanticism, and power, with this shoot, we set out to create an elopement to inspire artistic couples who think a little bit outside the traditional realm of weddings and want to express their individuality.

Our bride wears a bright red Marchesa Notte dress from BHLDN covered in organic blossoms and carries a guitar adorned with florals instead of a bouquet. Her groom looks at her like she is maybe magic. Everything around them is blossoming in whimsical artistic chaos. They say their vows at sunset in an intimate ceremony surrounded by a hanging garden of birdcages and mayan geometric sculptures. Celebrating their new union, they exchange flirty glances over a sweetheart table decorated in lace, piled with fruit and flowers and bohemian dinnerware. They exchange love notes written on custom-made stationary and indulge in tequila cocktails in a cozy bar. Their wedding cake is wearing a floral crown made of pure sugar. As they stroll around town, they exchange kisses in the light of sparklers by a fountain before they falling asleep in each others arms.

The Florida coast at sunset is such a magical time, and what could be a more gorgeous setting for a wedding? This lovely waterside Sarasota wedding from NK Productions Wedding Planning has completely stolen our hearts! With a gorgeous seaside ceremony and soft blush hues, Chandler & Luke’s wedding was classically romantic and oh-so-sweet. The romantic vibes were made sweeter with Chandler’s gorgeous long sleeve lace gown from The White Magnolia Bridal Collection. What (or who) helped you most in your planning process and/or on your wedding day?

Korrin and Kari from NK Productions were absolutely amazing. They were incredibly helpful in the months leading up to the wedding and made sure everything was taken care of. On the day of, they were both on top of everything and made sure everything went smoothly. They made it so that Luke and I could enjoy every minute and not worry about a thing. I could not have done it without them!

Tell us a little a bit about your wedding (your vision, color, style, and location choices).

Since some of our favorite days, including the day we got engaged, are spent out on the water in Sarasota, Bay Preserve was an easy choice for our venue. We immediately fell in love with the southern charm of the brick estate coupled with the beautiful view of the water. I really wanted to incorporate the southern feel into the wedding style but also wanted it to be elegant. I went with the soft blush and ivory colors paired with the greenery.

What was the most important to the two of you while planning? Was there anything that you chose to splurge on or skip?

Having a really great planner was the most important thing to us. I knew that would ensure that the day went as smoothly as possible and would make things less overwhelming for me. I chose to splurge on hair and makeup for my bridesmaids and I – if you look good, you feel good!

What were your favorite parts of the day?

Our day was beyond what I ever could have imagined so it’s hard to pick out my favorite parts but two moments that I’ll never forget are when I was standing on the inside of the house looking out the back door with all my bridesmaids and parents by my side and I was watching as Luke drove up on the boat to the ceremony. All of our guests were already seated and the Voilin was playing. It was the most surreal moment. The second moment was when we Luke and I were sitting at our head table looking out at our guests and our beautiful venue and we just took it all in. We were able to just share that quick moment the two of us to realize how amazing it truly was.

I’ve noticed a few things about weddings and engaged couples over the years, and there’s one thing that has remained pretty steady the whole time: the fact that there are way too many misconceptions about wedding planners and what they do! And if you know me at all, you know that I just can’t stand by and let misconceptions keep going. So allow me to share a few things to know about wedding planners…

1. Wedding planners… plan weddings.

But they also are there to answer your questions about your wedding (consulting) and to be the point of contact for vendors so you’re not inundated with emails and phone calls all the time. They coordinate timelines, vendor meetings, vendor confirmations, setup of the wedding, and the whole wedding day. On the day of the wedding, they make decisions so you don’t have to, and they handle all of the stress that comes along with a wedding day (providing you allow them to) so that you can just sit back and relax. And so, the title of “wedding planner” definitely encompasses a wedding consultant and wedding coordinator, so it’s best to just use the term wedding planner. :)

2. Wedding planners are an investment for your wedding, not an expense.

He or she will save you money- whether it’s directly or indirectly, saving money will happen. From finding you the perfect vendor within your price range or preventing you from buying things that you don’t need, you’ll definitely have made an investment when you work with a wedding planner. You can thank me later. ;)

3. When you have a wedding planner, you have to let go a little- but JUST a little.

Sometimes brides have a little bit of trouble letting go of things. I definitely did. But when you have a wedding planner, in order for them to do their job well, they need you to let go. Turn things over to them. If you hire them mid-planning, fill them in on everything (seriously- EVERYTHING!), inform your vendors that you have hired a planner, and then it’s smooth sailing. Oh, and for the love of all things good, please don’t leave your planner out of communications with other vendors! (This is all assuming that you hire a planner for full service. If only hiring for partial or month-of, then this might be dependent upon the planner.)

4. A wedding planner can’t read your mind (although he or she would love to)!

And this is why you need to tell your wedding planner any and every thought that you have about your wedding (okay, maybe not EVERY thought, but most of them). Because the majority of the time, a wedding planner will have an answer for you. So no need to waste your precious time worrying about anything having to do with your wedding if you have a planner- just ask!

5. Day-of wedding coordination is never and should never be just the day of the wedding.

It’s impossible for a wedding planner to do his or her job by just walking in the day of or the day before a wedding. There are too many things that have to be done before that. Which is why you won’t see the term “day-of coordination” here on ELD- because it doesn’t exist. :) Month-of coordination is more like it, because that’s an ample amount of time for a planner to be able to do his or her job well for coordinating your wedding day. And as of more recently, the term “event management” has come to light, to indicate that the wedding planner is, in fact, MANAGING the details of your wedding day.

Disclaimer: Unfortunately, there are just some things that a wedding planner can’t deal with for you. Making final or financial decisions, family members, the weather, and assigning seats are some of the things that just really have to be handled by you. And believe me- wedding planners SO wish they could do all this for you. But unless they know you and your family really well and have a special deal with the man upstairs to control the weather, these things cannot be fully handled by a planner. However, a planner can and will do anything and everything that he or she can do to help you with the things that they can’t take off your plate.

 

Of course, this is in no way everything you should know about wedding planners, but it’s at least a little insight. I know I could have definitely used it when I was thinking about a wedding planner, and I hope it will help you!
