Oh the dreaded guest count– I’m pretty sure it’s the bane of just about every couple’s existence when planning their wedding! Well, our friends from Modern Vintage Events are here today to shed a little more light on why the guest count does indeed COUNT…  

When budgeting for a wedding, did you know that your guest count is one of the biggest factors to consider? Think about it. When inviting someone to your wedding, you are first asking them to come and witness your marriage and the commitment you are both making to each other. Yay! After those handwritten, heartfelt wedding vows are said though, you’re inviting them to a party. The party of your life, right? And that shindig comes with a hefty price tag.

How Exactly Does Guest Count Affect My Budget?

When you ask someone to join this kick butt celebration of yours, you are effectively taking them out to dinner — at a pretty nice restaurant. So, let’s take 100, 200 or even 300 of your closest friends and family out to a nice dinner in your town. What would the cost for that look like? Then consider this: instead of just taking them out to a delicious meal in a nice restaurant, you now also have to pay for the table where they are sitting, the chair they are sitting in and oh, the fork in their hand. You are building this restaurant right inside your venue for one night only. The ULTIMATE pop up. With each guest you add, that’s another chair, another fork, another glass of wine (or four).

Sounds a bit daunting, when put that way, right? I promise we’re not trying to scare you. However, we do strongly suggest taking a long hard look at your guest list. Ask yourself, “Is this person truly close to me? Or is this an acquaintance I’m likely to not have contact with a year or two from now?” If you just can’t imagine having your wedding day without every. single. one. of your super close 250 besties and your budget supports it, then more power to you! It will be an epic party for sure. But, if you’re planning your wedding with budget always in mind, choosing not to invite your third cousin’s boyfriend of the minute or your former first grade teacher might really help that bottom line.

So Who Should I Invite To My Wedding?

Invite the people that truly matter. Make sure your family is there. Make sure your close friends (new and old) are there to celebrate with you. Think about people you keep in touch with on a regular basis. Who’s on your Christmas card list? Who do you call on their birthday (Facebook reminders about everyone you know don’t count)? Work acquaintances might need to sit out unless they are also close friends.

Do I Need to Invite My Parents’ Friends?

Simply put, no. We do know this can be a touchy subject though, because oftentimes parents are heavily involved in the budgeting and are helping to pay for the wedding. We suggest trying to give them a certain number to shoot for when inviting their friends. For example, each set of parents gets to invite 10-20 people outside of family members that would definitely be invited anyway. We get it – it’s a big day for them too and they also want their friends to join in celebrating you. In the end though, the day is about the two people getting married and we feel they should have more of a say in the final guest list.

How Many People Will Actually Come?

In our experience, estimating 60-70% attendance from your original guest list is usually a pretty safe bet. If everyone invited lives in town, that number might be slightly higher, possibly more like 75%. If almost all of the guests are traveling from out of town, then it might be slightly lower. If you live in a hot destination city, that could bump up the numbers a bit as well. However, we still usually see numbers around the 70% range. That means if you send invitations to 100 guests, you can estimate that 70 of them will attend the wedding.

In the end, the most important thing is to make sure you are surrounded by those you truly love. How often do you have all  your people in the same place at the same time. The more intimate you keep that list, the more you budget (and maybe your parents) will thank you.

From Tampa Bay wedding designer and planner, Amber Veatch Designs: 

I am always striving to create an approachable design so my couples and their loved ones feel comfortable at each wedding. This inspiration shoot was no exception. I love Haus and the blank canvas that it provides and I wanted to play with a color palette I don’t see a lot of but am seeing popular right now, marigold and navy. I wanted to bring in a lot of natural wood elements, also a trend that I am loving right now. I feel that the natural wood makes the overall design less stuffy and more approachable. I love how Marigold Flower Co. incorporated the bright and cheery pops of yellow and some wood elements of their own in the floral displays. I chose a Willowby by Watters gown from The White Magnolia, Tampa because I love the flirty lines and gorgeous floral details because my bride is stylish and elegant but not too serious.

I wanted to create a fun drink display, something I think couples should do more. I created a lemonade station with the idea that guests could add in syrups to create their own drinks like blueberry-lemonade. Something fun, interactive and delicious for your guests to enjoy at the wedding.

Oh, and PS- this couple is actually engaged and will be getting married in early 2020! How adorable they are?! And how FUN is that- to have a “practice” wedding day?! Also, the bride went wedding dress shopping the NEXT day- and no, she didn’t get this dress, even though she looked amazing in it! ;)

There tend be a whole lot of misconceptions about working with a planner. Not having a hand in planning your wedding, and the thought that you can only have a wedding planner if you’re having a fairytale million dollar wedding are two of the most popular ones that I hear. But one of the things about wedding planners that some don’t understand is this:

A wedding planner can’t do EVERYTHING for you.

That’s right friends- there are some things that YOU will still need to do, regardless of whether you’ve hired a planner or not. These things typically have to do with personal relationships, making decisions, and having knowledge of history and relationships.

So, we’ve asked our friend and wedding planner pro Nellie of Nellie Sparkman Events to share her insights regarding all of this- take it away Nellie!


As a Wedding Planner, while we wish we could do it all for you, there are some things that fall outside of our duties. Depending on the level of service you have hired a Wedding Planner for, here are 10 things you will usually need to do for your Wedding Planner (aka what a wedding planner can’t do):

Create a Guest List and Obtain Guest Addresses

Creating a guest list and obtaining guest addresses is the first thing to do after getting engaged- after celebrating, of course! This guest list will dictate where your ceremony and reception will be held, as well as how your wedding budget will be spent. Typically, weddings can expect to see 80% of the total guests who are invited actually attend the event. And don’t forget- the more guests that attend, the higher the budget!

Budget

The budget conversation needs to occur between the Couple, Parents and any other parties that might be paying for the celebration. Prior to hiring a Wedding Planner, it is a good idea to have clear budget expectations and conversations to ensure that hiring particular vendors is the best investment for your wedding day.

Sign Contracts and Pay Vendors

While a Wedding Planner can direct couples to book the best vendors and review contracts prior to a contract signing, ultimately, the services provided are between the clients and the service provider. Legally, it is best that the client signs all contracts and pays vendors directly.

Make Decisions: Likes and Dislikes

As a Wedding Planner, we want your wedding day to be a reflection of you and your love story. Our job is to help navigate you through the planning process, while making suggestions along the way. Your job is to make decisions, and tell us what you like and dislike so your wedding day can be completely yours. Unfortunately, we cannot read minds, so any insight you can provide us, whether it be a Pinterest board, magazine clippings or things that you disliked at your cousin’s wedding, are all great ways to help us navigate your wedding design.

Register

Registering is such a fun activity for a newly engaged couple to do together! Make it fun, bring snacks and ask a friend (or mom) to tag along if it gets too overwhelming. Everyone has their own taste and what works for some people’s registry will not always work for the next person’s. Heck, you can even register online in multiple places (we love MyRegistry.com for this), which is super easy and fun too! Just remember to stick to what works for YOU and your life together!

Break Venue Rules

Venue rules are there for a reason! Do not ask your Wedding Planner to break rules on your behalf. If the venue says no sparklers, do not have sparklers! If you are in a Catholic Church, do not request that the Wedding Planner move the altar- it is there for a reason. Often times, Wedding Planners work at the same venue time and time again, so breaking rules at a venue could lead to consequences long after your wedding day is over.

Do Other Vendors’ Jobs

Our job is to plan and coordinate your wedding and the vendors involved. If we are setting and striking chairs, cutting cake, bussing tables, or serving alcohol, we cannot do what you hired us to do. If specialty chairs need to be brought in, hire the rental company to set up and take down the chairs. If a cake needs to be cut, this is the job of the catering company (as they hold the catering license). When a planner ends up doing the tasks of other vendors to help couples save money, money comes out of their own pockets to make a wedding day happen seamlessly.

Place Guests on Floor Plan

Who knows your family and friends dynamic best? You do! We will create your floor plan, tablescapes, and all the pretty details, but when it comes to sitting Uncle Sal next to Aunt June- that is for you and your family to decide on. Make sure you submit these details to your planner two to three weeks prior to your wedding date so they can distribute these details to the caterer, bar service, venue and stationer.

Obtain Marriage License

Each state has different requirements when it comes to obtaining a marriage license and your Wedding Planner will be well versed in where to go, when to go, and who needs to go to the local courthouse to obtain the marriage license. But this is definitely something that you will need to be present for!

Mediate between Family Members and Bridal Party

Often times Wedding Planners become one of your closest allies in the planning process. With that said, please do not rely on your Wedding Planner to diffuse drama between family members or bridal party members. Our purpose is to bring together a beautiful wedding day with the finest of vendors and be a sounding board for etiquette and advice along the way. Will we do everything in our power to make sure it’s the best day for you? You bet. But we definitely strive to keep to ourselves when it comes to any drama!

We are head over heels for today’s modern and romantic Sarasota wedding captured by ELD favorite Hunter Ryan Photo! This couple really let the natural beauty of their venue, Selby Gardens, shine with a white, cream, and gold color scheme. Jennifer Matteo Event Planning helped them coordinate lots of modern acrylic details like the stunning floral arch and ghost chairs to not inhibit the serene waterside view. Their one pop of color was in the statement painted and sugar flower covered wedding cake to end the night on a glam note!

The bride described her inspiration as modern and romantic. She really wanted a clean white palette with modern touches of acrylic, white orchids and mercury glass. She also noted that with 80-90% of the guests coming from out of town – they wanted to give them a full “Sarasota” experience. Overlooking the Sarasota Bay achieved just that!

Allison wanted different, yet traditional – so we set off to find the balance for her.  The result was simply stunning.  Modern elements such as custom Acrylic Table numbers, Chuppah, seating chart and signage were perfectly balanced by traditional Napoleon chairs, clear glass chargers and Mercury glass table tops. Her florals were in abundance. From her ceremony Chuppah to her head table – luxury was the focus.
