Choosing A Wedding Venue & Photographer that is right for You!

Choosing a wedding venue that is right for you and your fiance can be daunting and definitely takes some research. You may walk into a few venues before you get that, “We could definitely get married here,” feeling or on the flipside, you may find too many you love!  We know you have scoured the internet and Instagram looking at photos from different photographers in different venues and are beginning to imagine yourself and your wedding within those walls.

The venue is the backdrop for you party but also for the photos you will look at for years to come. Those yellow curtains that remind you of your grandma’s house won’t disappear (unless you cover them up with draping that is.) When touring your venue consider what effect things like yellow walls can have on your photos. (Think jaundice…) Courtney Davidson, with Courtney Davidson Photography is shedding some light on choosing the right venue and photographer for your wedding photos.

Things to Consider When Searching for a Venue:

Photos and photographer aside, there are some basic things you should consider when searching for a venue:

  • Availability–Is your date flexible or do you have your heart set on a date or day of the week? Being open to a variety of dates or days of the week may open up options for you.
  • Guest Count–Can your venue really hold the number of guests you are expecting? If not, are you willing to cut people from your list to make a venue work or should you move on and look for something larger or smaller?
  • Budget—Will the venue fees work within your budget?  Consider what outside rentals may need to be brought in and factor those into your budget.

How Does the Venue Affect the Photographer?

With a good photographer on your side to capture your day, any venue can look like a million bucks. That being said, the venue you choose can have a big impact on how the final photos come out. Courtney helped shed some light on this for us.

Things to look for:

  • Lighting and Texture.  Do you want urban, modern, industrial or maybe garden?  How much natural light comes into the venue?  How dark are the walls? Do you love the idea of a night club feel or do you want something a bit more light and airy? None of this is good or bad, just a personal preference. These things may impact the photographer you choose as well. Does the photographer you love tend to lean more on the light, natural light side or the moodier, artificial light side? (Maybe somewhere in between.)
  • Rain Plan. We know, it won’t rain but just in case it does. Ask about a rain plan and make sure you are comfortable with what that might be. Are there places to take photos within that rain plan? (And are they in a really dark side room? Your photographer can help with this!)
  • What is your style? Do you see yourself in a barn, a ballroom, a music venue, a botanical garden? Ultimately, you want to choose a space that feels right for you guys, don’t try to force something that doesn’t fit your personalities.
  • You don’t have to settle for just one.  If you want an urban venue but want some outdoor photos scout places near the venue or try to factor in time to go to another location for photos. (Note. this could require a first look or having a long break between your ceremony and reception.)

Choosing Your Photographer:

We know this sounds complicated but it doesn’t have to be. When you find a photographer you love and you mesh well with ask them if they  have worked at the venue you are looking at or venues of a similar style. Just because they haven’t doesn’t mean it is a deal breaker.

  • Research your photographer well.  There are many different styles, from natural light to artificial light.  Some, like Courtney, are in between. Many photographers will bring in lights so they can capture every setting.
  • What style do you like? Do you keep coming back to a style? Very posed, editorial, edgy? If you do, go with a photographer who has that style.
  • Ask for a gallery. Just because a photographer has all natural light outdoor photos on their Instagram doesn’t mean they can’t get those hilarious dance photos. Ask them for a full wedding gallery to see the way they document an entire day.
  • Share Information with them. Let your photographer know what venue you have chosen/are looking at and ask them to see photos in that venue or something comparable.

Hannah + Mo’s wedding was inspired by her love of the Farmgirl Flowers company with a black-tie twist at the Vinoy Renaissance Hotel in downtown St. Petersburg, Florida.

The florals incorporated brightly colored peonies, garden roses, poppies, and tulips to give an elegant while organic feel. It was very important to Hannah + Mo that their dogs be incorporated into the wedding and made a great appearance at the ceremony and inspired the signature cocktails.

Their 250 guests danced the night away to the Headliners band and were surprised with a late night churro and ice cream bar.

Friends, you NEED these colorful retro wedding ideas in your life! Regardless of whether you’re into retro vibes, the color palettes, the details, and the design of this inspiration created by Ashton Events and Treasury Rentals are giving us LIFE over here! And with images captured by Hunter Ryan Photo, well, there is A LOT of gorgeousness to be inspired by.

This color palette is like none other we’ve seen, filled with retro tones of dusty rose, muted coral, and caramel, accented by pops of slate blue, and muted emerald green. An incorporation of natural wood tones, textures, and brass details rounded out the retro chic style perfectly.

Our favorite aspect of this design is the use of shapes. It all starts with the ceremony, created from a modern painted backdrop featuring arch and half arch shapes layered on top of each other. The simple, geometric look in the 70s-inspired color palette popped against the white walls, and hanging florals added just the right amount of elegance. We see the use of shapes again in the beautiful reception table linen from Nuage, and then again in a stunning gold gilded cake design. We’re always so enthralled by the way that Ashton Events designs her weddings, and this inspiration is a perfect example of her attention to detail and design.

Oh, and then there’s the stunning, sleek 70s-inspired wedding dress from By Watters, complete with bell sleeves and a low back. It is EVERYTHING! And now, enough of our gushing about this retro wedding design- it’s time that you see it for yourself!

“We wanted to bring as many tones and textures to the floral design as possible. The 70s inspiration of the shoot kept us in a very muted, color-rich palette. The layers and dimensions of the blooms brought a pop of personality to the flat & matte look of the design. We opted out of using greenery to keep the the colors as vivid as possible.

When it came to the linens- Nuage just released this brand new line of linens! We immediately fell in love with the reception table linen. It has the most gorgeous layers of color and bohemian design. The jade and peach combination was perfect! We loved the pop of color from the plum terra napkins. It was the perfect final touch.”

Oh contracts… words that no one likes to hear, right?! However, making sure that you read a wedding vendor contract is imperative to not only hiring them, but ensuring that you’re on the same page regarding the products or services that are being provided. I can attest- I didn’t fully read my photographer’s contract, and was blindsided when she told me that she was leaving my wedding at 9pm (mind you, it was at like 8:45pm that same day). Had I fully read the contract, I would have caught that, and likely would have either altered my coverage times, or added more time. So, having Becka and Jessie of Modern Vintage Events here with us today to share all about reading wedding vendor contracts is GOLD…

How To Read a Wedding Vendor Contract


We may or may not (erm…ok, may) preach a lot about making sure you have a contract with all of your wedding vendors. Which vendors specifically, you may ask? Every. Single. One. However, getting their services in writing and signing your x on the line is just the first step. It is equally important that you actually read that contract.

I know, I know, when full of a bunch of dense paragraphs and legalese, contracts can be boring at best and straight up confusing at worst. But making sure you actual understand what you are signing can help alleviate a lot of headaches and sometimes additional fees in the long run.

What Should Always Be Included in a Contract?

First off, you want to make sure the wedding vendor contract clearly lists and defines exactly what is (and isn’t) being supplied by the vendor. For example, if you are reading a venue contract: how many hours are included in your rental fee? If you need more hours, is there an additional cost? What are they and aren’t they supplying along with the rental (i.e. furniture, decor etc). Make sure that everything that the vendor has discussed being included in their service is mentioned in the contract. If it’s not in writing, it can be a lot harder to prove it was discussed down the road if a misunderstanding should arise. The contract should also include provisions regarding cancellations. Are you allowed to cancel? Is the vendor? What happens if there is a natural disaster? What happens if the vendor gets sick or otherwise unable to hold up their end of the agreement?

What Kinds of Things Should I Look For in Vendor Contracts?

To name just a few–

Venue:

For a venue, you always want to make sure the contract includes things like:

  • Number of hours included in the rental
  • What else is included in the rental?
    • Do they have tables and chairs you can use?
    • Is there an additional fee for those?
    • Do they have a sound system?
    • Do they have exclusive required vendors?

Photographer:

  • How many hours will they be shooting on wedding day?
  • Do they require a meal for their staff?

Caterer:

  • Do they supply servers?
  • Do they set the tables?
  • Do they supply staff for the entire event to continue clearing and cleaning or do they pack up and leave after dinner service?
    • If that happens, who is in charge of cleaning the remainder of items at the end of the night?
    • Who will take out the trash?

How Can My Wedding Planner Help?

If you are planning your first wedding, chances are reading vendor contracts is pretty new to you. However, your planner should have seen their fair share of vendor contracts throughout their career. Not only that, but because you’ve hired them to make sure your day runs smoothly, they also know what things are needed from vendors to help make that happen. Your planner can review contracts as they come in (ideally before you’ve signed!) to make sure everything is clearly laid out, there aren’t any strange provisions and that you have everything you need right from the start. Remember, your planner is not a lawyer and can not provide legal advice. But, they can share their knowledge and provide insight and advice to help alleviate last minute stressors or snags to the plan.
