What (or who) helped you most in your planning process and/or on your wedding day?

From start to finish I used The Knot as my primary organizational tool. The checklist was a great guide for when I should complete tasks, the guest list tool still serves as my address book today and the seating chart was a life saver!

What was the most important thing to you when deciding who to work with for your wedding?

I really looked toward reviews (yelp, my wedding) when deciding our wedding team. Every vendor we were elated with had many glowing reviews and the (very few) we aren’t sure if we’d work with again either didn’t have many reviews or had some questionable ones.

What was your inspiration for your wedding details and/or design?

I couldn’t exactly put my finger on the “theme” of our wedding until after the fact, but now looking back, I’d say our goal for us and our guests was to have a fun night out on the town. We love Seattle and wanted our guests to have a memorable night downtown with some of Seattle’s best food (Tom Douglas, yum!!) and a lot of fun extras like a photo booth, a whimsical backdrop for the ceremony, cocktails, right down to party paper straws.

What was your favorite thing about your wedding?

My favorite thing about my wedding was the dancing. We took three private dance lessons to guide us through our first dance and it felt amazing after months of practice to have this moment that was just between the two of us and we killed it! From there, we had an awesome DJ that kept our guests moving all night long and lead to some amazing memories (and pictures).

What is your best piece of advice for other brides?

Stay organized! Throughout the hectic process of wedding planning it was important to me to stay in control as much and as long as possible so I knew I was doing what I could to make things go smoothly. However, there comes a point where all the organization in the world can’t help you and you just chalk it up to “making a memory”. 

Aw, I love Danielle’s advice… “just chalk it up to making a memory”. So great!

I particularly LOVE the stylish bridal party- girls and guys! The aqua shoes for the girls are just perfect and really complete their look, don’t you think? What are you planning for your bridal party? Something stylish and fun like this one?

What (or who) helped you most in your planning process and/or on your wedding day?

Three things – a massive spreadsheet that kept all our guest information, budget, vendor info, etc. in one place, our really amazing vendors in Florida, and friends and family who pitched in throughout the weekend. Our wedding was in the Florida Keys and we live in Minneapolis, so we had to rely a lot of our vendors and most importantly, our coordinator, Julia Timmins at Blue Water Weddings. Since the Keys are such a small place, not everyone has a detailed website or anything, so it was really helpful to have someone local who knew the area and other vendors. Having her there the day of was essential – we were able to just let it all go and know she would make sure everything happened as close to what we had planned as possible!

What was the most important thing to you when deciding who to work with for your wedding?

We had a friend who got married in the Keys a few years earlier, and luckily they were able to recommend their amazing caterer to us. We started from there, and since Islamorada is a pretty small place, it was basically word of mouth on recommendations of who else was awesome in the area. I spent the most amount of time online choosing a photographer – starting out looking on blogs and websites for styles we liked, and then figuring out who was within our budget. We got amazingly lucky to work with Concept Photography. They were a blast, and we loved how the photos turned out.

What was your inspiration for your wedding details and/or design?

We were excited to have a beach wedding (the Florida Keys are obviously gorgeous), but we aren’t really the barefoot on the beach types.  So we wanted to make it romantic and elegant, but still feel very relaxed. We didn’t really have wedding colors – I kept describing it as “neutrals” – beige, white, pinks, grays, and navy became sort of our accent color. I got excited with the idea of using paper flowers instead of real ones, which sort of became the focal point. I initially planned to buy them on Etsy, but then in a crazy moment decided to just make them myself using coffee filters and a DIY tutorial I found online. I got a lot of help from my bridesmaids and friends, which was really special to have everyone contribute.

What was your favorite thing about your wedding?

Having so many of our closest friends and family all in one place. Our vision from the beginning was to have a whole weekend-long celebration where everyone could just hang out and get to know each other. The Chesapeake Resort was the perfect venue – it was only our wedding guests, so throughout the weekend we got to see friends and family from different places getting to know each other, and we were able to get quality time with our guests outside of just the main events. It was a really unforgettable experience.

What is your best piece of advice for other brides?

Two things: First, ask for help. I was really bad at this. It’s hard to delegate sometimes, but people want to contribute and get involved so take them up on offers to help out. Secondly, a friend told me once that at your wedding, you won’t remember the way it looked, you’ll remember the way it felt, and I can’t express how true that statement is for me. I spent hours and hours making paper flowers and planning the table settings, and while I’m so happy with how things turned out, I didn’t even notice the tables until I saw pictures after the wedding. But I do remember vividly how amazing it felt to have our closest friends and family with us, and feeling so loved, supported, and happy. It’s easy to get caught up in the details and décor, and that stuff can be fun and important, but it’s really all about you, and your groom, and your friends and family who are there to celebrate with you.

This may sound really silly, but when I was planning my wedding, I had no clue about how to inquire with wedding vendors! (Given, this was also a few years ago, and I know it’s crazy to think about, but websites and email weren’t quite as easy as they are today. Y’all are SO lucky that you have so many wonderful communication tools at your fingertips!) I didn’t know where to look, where to start, or what to do. It was almost like I was at a total standstill in my planning- all because I didn’t know what to do!

Of course I’ve learned a lot more since I planned my wedding, thanks to becoming a wedding planner afterwards. And so many times, I found myself thinking, “If I had only known this when I was planning!” So in case any of you are in the same position now, I thought I would share some of my insight about how to inquire with wedding vendors- so you don’t end up being stuck in a standstill in your planning like I was!

How To Inquire With Wedding Vendors via TheELD.com

1. Do your research!

First and foremost, search in The V List for the most awesome vendors that I myself have extensively verified and vetted. Go to their websites and look around. Websites now are FILLED with lots of information, and if you have any questions, or maybe you want to know what they charge, chances are good that the information will be right on someone’s site. Look at their work (of course), but also look at their About page and get a feel for their personality. [Go here for more tips on finding vendors!]

PS: DON’T BE AFRAID TO INQUIRE with vendors like I was! Also know that it’s okay to search outside of where your wedding is occurring. Vendors are always willing to travel, and who knows- your absolute favorite photographer could be in the next town over! 

2. Narrow Down

Don’t just send one big mass email to every single vendor in your area. It’s really important for you to find vendors that *you* like. Make a list, narrow it down to your top choices, and send inquiries to them. My recommendation is to have a list of 3-5 and start there.

3. Keep things Short, Sweet, & Informative

When you inquire, you can either send an inquiry through a vendor’s form on their sites (if they have one), or email. (You can also call if you really want to, but for organization purposes, I recommend keeping things online.) No matter the method you choose, keep things short, sweet, and informative. Start off by telling the vendor why you are inquiring with them- what is it about them that drew you to them? I know it’s corny, but it will establish a nice sense of relationship for both of you. :) Provide them with your wedding date, your venue, a little bit about the kind of wedding you’re wanting to have, what services of theirs you are interested in, and what your estimated budget is for those services.

4. Respond!

This is of course the biggest thing of all- respond! Start an email conversation once the vendor has responded to your inquiry. They might respond with information for you, or they may ask if you want to setup a time to meet. At the very least, just respond to let them know you’ve received their email and will get back to them (we all know that email isn’t always the most reliable!). And another big thing- if you’ve decided to go with someone else, please let them know!

And that’s it- it’s all really quite simple to inquire with wedding vendors… the real work is in finding *who* you want to inquire with! :)

“1) Trust your professional planner to help guide you in the right direction. He/She has worked with these professionals before and will recommend great vendors who are the best fit for you (in personality, budget, style, etc.).
2) If you’re researching a planner, go with your gut! Be honest and candid. You’ll be entrusting this person to help you make big decisions for the next 6-12 months, so your relationship is important!
3) Budget is important, but if you find a vendor you adore and are compatible with, it’s really amazing when you end up finding that their services are invaluable.” – Avis of Carillon Weddings

“Don’t forget to take a look at their investment page to make sure your estimated budget is in their starting price.  Will save you a ton of time in narrowing down the ones you will be meeting with. Also, make sure you and that vendor get along 100%. “Do research. If they have a website read it, especially pages like faqs. Getting these things out of the way before the first meeting or email means a quicker start and more time can be spent on the fun stuff. It also shows a great respect to the vendor. “Be as organized and give as much up front direction as you can. Any details, communicate! Pick vendors you truly get along with and you TRUST. You shouldn’t have to stress or micromanage your vendors.” – Kristi of Markit Photography

“Don’t send out blind emails, I know it’s very overwhelming out there, but do a little research first before contacting a vendor(s), make sure you are contacting the right people otherwise you will soon have a very full inbox with spam mail!” – Michelle Elaine Weddings
